Digital Dictation
The benefits of modern Digital Dictation Systems can be grouped under three headings: Elimination of analogue tapes and the Tape Problems inherent to their use All Digital Dictation systems dispense with the tape and therefore eliminate these problems comprehensively.
Workflow Management Opportunities As an electronic file, a digital dictation can be assigned distinguishing properties, classified in terms of various parameters, and routed, stored and manipulated according to a variety of user definable rules. By comparison, an analogue recording is trapped on magnetic tape and the only definable characteristic is the length of tape involved.
Business Process Improvement Before digital dictation, the process generally required author and secretary to work in the same office. In addition, the use of tapes created its own processes.
These physical and process restrictions impact on other office processes, personnel policies, and even office design, location and layout. Remove the restrictions and many improvements become possible.
Increasingly, professionals are able to access office systems and information remotely, using dial-in and VPN techniques. Before Digital Dictation however, putting thoughts on paper would be limited by the requirement to deliver a tape or manuscript to the office for typing, or the professional would have to type his or her own work. None of this is now necessary, and business managers can genuinely think in terms of getting the job done wherever it is best (ie most effective) for the business and its staff.
